CELEBRATING WOMEN WHO LEAD

November 11, 2018

Newport Performing Arts Center • 2 to 4 pm

Enjoy entertainment, speakers, and a silent auction.

Join us in creating this delightful, meaningful experience for our Central Oregon Coast NOW community. Share your talents, skills, and energy by volunteering for a Committee Chair role.

Please know that although you’ll be in the lead, you won’t be alone. Cindy Jacobi and Jalene Case are the event’s co-chairs for 2018, and they will be there to support you + help you recruit people to help you with the committee work.

Committee Chair Positions Available

Following is a basic description of each committee chair’s responsibilities.

Food Committee

Good food can make an event shine! You’ll get to envision how the attendees can enjoy afternoon snacks as they walk around checking out silent auction items and chatting with people.

You will:

  • Know food safety practices and follow the law’s requirements for serving.
  • Create a proposal for food to serve and share with event Co-Chairs.
  • Coordinate getting donations of as much of the food as possible.
  • Manage a budget for purchasing food if a donation opportunity is not found.

  • You’ll receive details about food served last year and food donors.

Silent Auction Items Committee

This is the lifeblood of the event! You’ll get to play a major role in what’s being offered for attendees to purchase in support of NOW.

You will:

  • Coordinate the process for requesting, picking up, and storing auction item donations.

Extra bits of info:

  • You’ll receive a list of places that have donated in the past.
  • We need to find a place to store donations in advance of the event this year.
  • We will offer the list of past donors at each NOW meeting so members can sign up to contact the donor.

Marketing

Design matters! The look of marketing materials and the tone of articles, ads, and social media posts convey a distinct message about NOW. You’ll get to present the voice of NOW to the community.

You will:

  • Design materials such as poster, program, personal invitation (postcard?), event signage, etc.
  • Write press releases, articles, social media posts.
  • Schedule radio interviews.

  • You’ll receive access to past marketing material.

Program/Entertainment. Franki volunteered to head this committee

The entertainment sets the atmosphere, and the program is the heart of the event! You’ll get to ensure that the atmosphere and heart have a strong vibe in sync with NOW’s purpose.

You will:

  • Coordinate background music.
  • Coordinate speakers.
  • Keep it all running smoothly during the event.

Extra bits of info:

  • You’ll receive info from past events and guidance in terms of musicians and speakers to contact.

Set-Up & Clean-Up

Not sexy but oh-so-essential for an awesome event! You’ll get to ensure that we have people to help on the day of the event with set-up and clean-up.

You will:

  • Coordinate pick-up and return of tables.
  • Put up outdoor signage.
  • Work closely with event Chairs on day-of-event details.

Extra bits of info:

  • The PAC cleans up the trash.
  • This is a great option for someone who would rather spend her volunteer time on the day of the event rather than in the advance prep work.
